What’s in a Name? Everything—If You Need a Notarization

"My husband’s name is right on the document—but the notary said she still couldn’t notarize it."


That’s how the call began.


On the other end of the line was Danielle, a thoughtful woman trying to get a loan modification document notarized for her husband. She had the paperwork, the timeline, and the intent to get everything done that day. But what she didn’t have—yet—was a match between her husband’s ID and the name printed on the document.


And that made all the difference.

When the ID and the Document Don't Match

Danielle explained that her husband’s name on the loan document matched his expired Texas driver’s license and Social Security card. But his current Florida driver’s license showed a completely different last name—one based on the name listed on his birth certificate.


The loan paperwork had been created using the last name from the older ID. But here in Florida, notaries are legally required to confirm identity using a current, acceptable form of ID that matches the name on the document.


That means:

  • ❌ Expired licenses can’t be accepted
  • ❌ Social Security cards are not valid forms of identification for notarization
  • ✅ The name on the document must exactly match the name on a valid photo ID

Valid Forms of ID in Florida (Non-Expired)

In Florida, acceptable identification must be current or issued within the past five years and include a photo, signature, and some identifying details. Common examples include:

  • Florida driver’s license or ID card
  • U.S. passport
  • Military ID
  • Foreign passport stamped by USCIS
  • Inmate ID (issued by FL Department of Corrections)
  • Driver’s license or ID card from another U.S. state or territory


Note: If you're outside Florida, ID requirements may differ. Always check with your local notary laws or secretary of state.

What Happened Next?

I gently advised Danielle that the name on her husband’s loan documents needed to match his current Florida ID in order for me to notarize them. That meant going back to the lender or title company and requesting corrected documents.


It wasn’t the answer she hoped for—but she appreciated the clarity and left the call more informed and empowered.
