“Wait — That’s Legal?” What Florida Attorneys Need to Know About Remote Online Notarization in 2025

She was referring to Remote Online Notarization (RON) — and she’s not alone. Despite RON being legal in Florida since 2020, many attorneys are still surprised to learn just how accessible and powerful it is in 2025.


Monica had just shared that one of her clients needed a Power of Attorney notarized urgently. The adult son, living out of state, was trying to help his aging father, who had recently been admitted to an assisted living facility in Tampa. Coordinating schedules was proving nearly impossible — and her client didn’t want to delay care or risk legal complications.

RON has been fully authorized in Florida since January 1, 2020. The law allows signers to appear before a notary online using secure audio-video communication. Every session is recorded, and the completed documents are digitally sealed for authenticity and tamper protection.


The platform I use allows signers to verify their identity using either knowledge-based authentication (KBA) — answering questions based on their credit history — or biometric analysis, such as facial recognition. All signers and witnesses must present a valid government-issued photo ID to complete the session.


Witnesses can participate in the RON session remotely, and if the signer does not have any, I can arrange for them to be present. The signer and witnesses can all be in different locations. The attorney does not need to attend the session, and I, as the notary, am the only one required to be physically located in the state of Florida.


For attorneys, this means fewer delays, less scheduling stress, and greater access for clients with health issues, travel constraints, or urgent legal needs. RON is particularly useful for estate planning, real estate closings, family law, and probate-related documents.


Monica followed up with me the next day. That same client — the out-of-state son — was able to complete the POA online with his father present. No travel. No waiting. No delays in getting the care he needed.
