Where’s the Car? — 3 Must-Haves for a VIN Verification

Claudia Mitchell-McLeod • June 16, 2025

“Do you do VIN verifications?”

That’s how a gentleman from New York began his call after finding me on Google. My answer? Yes — but it quickly became clear that not everyone understands what a VIN verification really requires.

The caller explained that he’d be arriving in Tampa the next day and wanted to meet “first thing in the morning.” After discussing my availability around a 7:30 a.m. meeting, we settled on 1:00 p.m.

But as we finalized the details, I asked a routine question:

“You’ll have the car with you, right?”

His response?

“Oh no, the car is still in New York — but I have a picture of the VIN.”

At that point, I had to gently explain: A photo isn’t enough. As a Florida notary, I must personally see the vehicle to complete the verification legally.

He was surprised — and to be fair, many people are.

What Is a VIN Verification?

A VIN verification confirms that the Vehicle Identification Number (VIN) listed on your paperwork matches the VIN physically attached to the vehicle. In Florida, this is often required when:

  • Registering a vehicle from out of state
  • Completing a title transfer
  • Rebuilding or re-registering a vehicle

The notary (or other authorized professional) must visually inspect the VIN to ensure the vehicle exists, the number is correct, and the information is accurate before notarizing the form.

3 Must-Haves for a VIN Verification in Florida

1. 🚗 The Vehicle — Present & Accessible in Florida

Florida law requires the notary to visually inspect the vehicle. If the car isn’t physically in Florida, I cannot complete the verification.

2. 🪪 A Valid Government-Issued Photo ID

This confirms the identity of the person presenting the vehicle and requesting the verification.

3. 📄 A Completed HSMV 82042 Form (Unsigned)

You can fill out the form in advance — just leave the signature and notary sections blank until we meet.
